Under UK GDPR, we must have a lawful basis for processing your personal data. The bases we rely on are:

Financial record keeping Legal obligation — required by HMRC for 6 years

Where we rely on legitimate interests, we have assessed that our interests do not override your rights and freedoms as a data subject.

Data Type Retention Period Reason
Booking and transaction records 6 years from job completion HMRC tax compliance

After the applicable retention period has passed, your personal data is securely and permanently deleted from all systems. You can request earlier deletion in certain circumstances — see Section 9 on your rights.

07

Who We Share Your Data With

We do not sell, rent or trade your personal data to any third party. We may share your data only in the following limited circumstances:

  • Sub-contracted crew members — where a job requires additional crew, the minimum necessary information (your name, address and job details) is shared solely to carry out the move.
  • Our insurance provider — in the event of a claim, relevant job details and correspondence may be shared with our insurers.
  • Payment processors — where card payments are processed, your payment details are handled directly by the payment provider. We do not receive or store card data.
  • Legal and regulatory authorities — where we are required by law to disclose information, for example to HMRC or in response to a court order.

Any third party with whom we share your data is required to handle it securely and in accordance with UK GDPR. We do not permit third parties to use your data for their own marketing purposes.

Your personal data is stored and processed within the United Kingdom. We do not transfer data outside the UK.

08

How We Protect Your Data

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction or disclosure. These measures include:

  • Storing digital records in password-protected accounts with two-factor authentication where available
  • Using encrypted email communication where possible
  • Limiting access to personal data to only those who need it to carry out the job
  • Not storing personal data on unsecured devices or shared platforms
  • Securely deleting data when the retention period has passed

In the unlikely event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner’s Office (ICO) within 72 hours and inform you directly without undue delay where required.
